This policy explains what personal information we collect when you use theherdmind.com or get in touch with us, how we use it, and the rights you have over it.
Who we are
The Herd Mind Ltd is a company registered in England and Wales, based in Luton, Bedfordshire, United Kingdom. We are the data controller for the personal information described in this policy.

Information we collect
- When you send a brief through the contact form: your name, work email, company or industry, the details you give us about your project and, if you choose one, your budget range.
- When you subscribe to our newsletter: your email address.
- When you email or call us: your contact details and anything you choose to tell us.
- When you browse the site: our hosting provider processes technical information such as your IP address, browser type and the pages you request, so that it can deliver the site and protect it from abuse. We also measure visits and page speed with Vercel Web Analytics and Speed Insights, which use no cookies and do not identify individual visitors.
We don't sell personal information, and we don't use it for automated decision-making or profiling.
How we use it and why
- To reply to your enquiry and prepare a proposal. This is in our legitimate interest in responding to people who contact us, or is a step you have asked us to take before entering into a contract.
- To send our newsletter, based on your consent. You can withdraw it at any time with the unsubscribe link in every email or by emailing us.
- To run, secure and improve the website, in our legitimate interest in keeping it available, safe and fast.
- To meet legal obligations, such as keeping business records if you become a client.
Who we share it with
We use trusted service providers who process personal information on our behalf and only on our instructions:
- Vercel Inc. hosts the website and provides our privacy-friendly analytics.
- Resend delivers contact-form messages to our inbox and stores our newsletter subscriber list.
- The provider that hosts our email inbox.
We may also disclose information when the law requires us to.
International transfers
Some of these providers are based in, or use servers in, the United States. When personal information is transferred outside the UK, we rely on safeguards recognised under UK data protection law, such as the UK–US data bridge or the International Data Transfer Addendum to the EU Standard Contractual Clauses.
How long we keep it
- Enquiries that don't lead to a project: up to two years after our last contact.
- Client records: for the length of our engagement and six years afterwards, to meet legal and accounting requirements.
- Newsletter subscriptions: until you unsubscribe.
Your rights
Under UK data protection law you can ask us to:
- give you a copy of the personal information we hold about you;
- correct information that is inaccurate or incomplete;
- delete your information, or restrict how we use it;
- stop using your information where we rely on legitimate interests;
- transfer information you gave us to another organisation.
Where we rely on your consent, you can withdraw it at any time. To make a request, email hello@theherdmind.com. We will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put things right first.

Children
Our website and services are intended for businesses and are not directed at children.
